학과의 기록물은 대학 본부 차원에서 생산?관리되는 기록물과 더불어 대학 기록물의 한 축을 담당하고 있으며, 대학의 투명한 행정체계와 명확한 학사관리를 위한 중요한 자산으로 자리하고 있다. 그러나 대학의 공식적인 기록물을 관리하는 전문 인력조차 제대로 확보되지 못한 현실에서 학과기록물을 체계적으로 관리한다는 것은 쉽지 않은 일이다. 향후, 보다 체계적인 대학기록물의 관리를 위해서는 학과기록물에 대해 관심을 가지고 세심한 관리전략을 필요로 한다. 학과기록물의 관리전략을 구축하기 위해서는 우선, 유형의 다양성, 생산량, 관리 현황 등 구체적인 현황 파악을 통한 실체적 접근이 필요하다.
이에 본 연구는 D대학교를 선정하여 학과 단위에서 생산되는 기록의 유형을 파악하고, 이러한 기록이 처리되는 과정에 대해 구체적으로 살펴봄으로써 학과기록물에 대한 일반적인 관리 현황을 보다 구체적으로 파악하고자 하였다. 학과기록물의 현황 조사를 위해 본 연구에서는 학과의 행정업무를 주로 담당하고 있는 D대학교의 학과조교 14명을 대상으로 구조화된 면담 및 설문조사를 실시하였다. 조사를 위해 학과기록물의 유형을 대학기록물의 형태별 종류와 내용에 따른 구분을 참조하여 전자형태와 비전자형태로 구분하고, 이를 다시 전자형태의 경우, 전자문서와 전자파일로, 비전자형태의 경우는 종이기록과 행정박물로 유형화하였다.
조사결과, 시스템을 통해 관리되는 ‘전자문서’를 포함한 대부분의 학과기록물은 학과의 업무담당자인 조교의 임의판단에 의해 관리되고 있었으며, 이로 인해 각 학과마다 기록의 분류 체계, 보존 방식, 폐기 방식 등이 모두 상이하게 이루어지고 있음을 알 수 있었다. 또한, 학과조교들은 향후 체계적인 학과기록물의 관리를 통해 학과기록물을 활용할 필요성에 대해서는 공감하고 있었다.
이러한 학과기록물관리의 실태에 대한 조사결과를 바탕으로, 본 연구에서는 부실한 학과기록물관리 실태의 원인으로 학과기록물을 체계적으로 관리하기 위한 방안 및 지침이 부재함을 지적하였다. 이에 향후 문제점 해소를 위한 방안으로 대학 차원에서 학과의 기록물관리체계의 정립하고, 관련 표준 마련 및 교육 강화를 제안하였다.
